If you're the person who has to sign off on a motor or drive system spec—whether you're sourcing a Bosch eBike mid-drive for a fleet, wiring a stepper motor for a CNC retrofit, or specifying a servo control system for a packaging line—this checklist is for you.
I'm a quality and brand compliance manager at a drive systems company. I review every spec sheet that reaches our customers—roughly 200 items a year. Write down the actual duty cycle first. Continuous or intermittent? Ambient temperature? Load profile? Who controls it, and how?

Check 3: Verify the Wiring and Interface Before You Mount Anything
Stepper motor wiring is where I see the most avoidable mistakes. Phase current rating, wire sequence, drive voltage range—get one wrong and the motor becomes a very expensive paperweight.
For stepper motor wiring, I check: phase current, step angle, driver compatibility, and whether the motor is wired bipolar or unipolar. For a servo motor control system, I check encoder type (incremental vs. absolute), feedback interface (EnDat, BiSS, SSI), and communication protocol support.
This step matters because the specs have to match at the interface level. A servo motor control system is only as good as its encoder feedback loop. If those don't align, you find out at commissioning—not at the desk.
Check 4: Check the Supply Chain History

I ask potential suppliers about their five-year outlook. Who owns them? Have they changed manufacturing locations? What's their backup plan if a key component runs short? Do they stock spare parts, or is everything made to order?
It feels like a downer question sometimes. But it's the cheapest insurance you'll ever buy.
Check 5: Test a Small Batch First
This one matters especially for small orders. Some suppliers treat a 20-unit trial order like it's not worth their time. Here's the thing: the vendors who treated my small orders seriously are the ones I still use for large-volume contracts.
The small batch test isn't about whether the product works—that's table stakes. It's about how they handle documentation, communication, and delivery when the stakes are low. That tells you everything about what happens when the stakes are high.

Check 6: Read the Warranty Terms Line by Line
Warranties are where suppliers hide the stuff they don't want you to notice. Look for exclusions: operating temperature beyond X, overload conditions, installation orientation, specific mounting requirements.
If your application sits outside their "standard" conditions, the warranty is essentially decorative.
Also check: does the warranty replace the part or refund it? What's the turnaround? If a servo motor fails and the replacement takes six weeks, you're not protected—you're just told you're covered.
Check 7: Find What the Specification Doesn't Say
Here's a useful rule of thumb: look at what's missing from the document. Rated power? Listed. Derating curve? Missing. Torque? Listed. Thermal limits? Missing. Dimensions? Listed. Tolerance range? Missing.
People assume expensive vendors deliver better quality. The reality is that vendors who consistently deliver quality can charge more—but the reverse isn't automatically true. A higher price tag doesn't guarantee better specs. It just means someone decided they could charge more.
Check 8: Get Every Deviation in Writing
When you talk to the supplier, make sure every variation from standard spec is confirmed in writing. Email is fine. A revised spec sheet is better. A handshake is worthless.
I learned this one the hard way. We had a vendor verbally confirm a parameter that was off by 8% in the actual delivery. No paper trail meant no recourse. We ate the cost and rewrote our contract templates.
Now every purchase order includes a technical annex that specifies exactly what we're buying—including any agreed deviations.
Common Mistakes to Avoid
- Don't compare sticker prices only. Factor in shipping, setup, and integration costs before you decide.
- Don't skip the sample run. Even a 10-unit trial tells you more than three vendor presentations.
- Don't assume the spec sheet is the whole story. Ask for the test data behind the numbers.
- Don't ignore version history. Vendors quietly update spec documents more often than you'd think.
- Don't punish small orders. If you're a small buyer, don't accept poor service just because your order is small. And if you're a bigger buyer, don't look down on smaller orders either—today's small customer is tomorrow's volume account.
The Bottom Line

Look, I'm not saying every vendor is out to cut corners. Most aren't. But the ones who aren't will have no problem answering these questions. And the ones who do have a problem answering them—those are the ones you want to find out about before you wire a single motor.
